Internal Sales, Invoicing & Administrative Clerk

Duties:

  • Receiving and capturing orders
  • Checking of customer pricing, from master pricelist before processing invoices
  • Checking stock availability before processing invoice
  • Ensuring no orders are released when payment is owed
  • Processing Sales Orders, Pick-tickets, and delivery notes
  • Invoicing
  • Keeping to daily deadlines, ensuring all work is completed and checked before COB every day
  • Customer courtesy calls
  • Cold Calling potential clients
  • Target driven, assisting Logistics in filling trucks by phoning clients for orders
  • Assist walk-in customers
  • Answer sales related queries via email and/or telephone
  • Providing cash before delivery customers with Estimates/Proforma Invoices
  • To Follow up on CBD clients regarding payment outstanding to release orders timeously
  • Daily / Weekly Pending Quote Reports
  • Daily/ Weekly Call Reports
  • Daily/ Weekly Open Sales order reports, including updating the outstanding orders schedule board
  • Ensure company delivery SLA is followed and advise superiors of reasons if not upheld
  • Data capturing
  • Dealing with Rep queries and requests
  • Sending of bulk notification emails
  • Filing
  • Any other ad-hoc duties as required

Requirements:

  • Knowledge of Microsoft Office applications (Word / Excel / Microsoft Teams)
  • Excellent communication skills
  • Must be able to think on your feet
  • Goal-driven, no time wasters
  • Team-player
  • Able to work and thrive under pressure
  • To go the extra mile, whether expected of you or not
  • Must be confident to phone clients
  • Minimum of 1 year administrative and sales experience
  • Any other work-related experience will be advantageous
  • Ability to work under pressure to meet deadlines
