Conveyancing Secretary (transfers)

Key performance areas 

- Responsible for running files from inception to closure 

- Assist in data entry, filing, conducting title searches, invoicing and other administrative support

- Compiling and amending documents for lodgement and registration 

- Attending to the deed’s office process and the linking with simul attorneys to secure 

registration of transactions

- Attending to all financial aspects of all transactions, including final accounts

- Preparing debit notes, credit notes and other accounting queries

- Ensure full purchase price is secured, including investments and guarantees

- Deals with all types of transfer instructions, including developments, from inception to final 

accounts

- Responsible for opening and closing files on CMS

- Ensures compliance with FICA

- Manages and follows up diary appointments

- Manages the administration infrastructure within the practice and ensures efficient, and 

effective processes and systems are in place

Skills and experience required 

- Matric / National Diploma or equivalent qualification

- Minimum 2 – 5 years’ experience working as an agency paralegal in a conveyancing 

environment

Attributes and knowledge

- Typing speed of 60+ wpm

- Computer Literate (MS Office Suite) including Excel

- Ability to work independently and to use initiative

- Meticulous and ability to pay attention to detail

- Ability to prioritise duties and handle pressure while keeping calm

- Dealing with several matters at once

- In depth knowledge of the full spectrum of conveyancing transactions is essential

- Good command of the English language both verbal and written

- Adaptable, professional and displays a positive attitude

- Conscientious and pro-active

- Ability to work overtime when required to do so

- The ability to deal with all aspects of transfers will be an added advantage, as will 

experience in dealing with notarial servitudes and title deed conditions.
